You don't need to be a programmer to build powerful AI workflows. In the next 30 minutes, you'll create your first automated system that can handle repetitive tasks while you focus on growing your business.

What We're Building

Today, we'll create a workflow that automatically:

  • Monitors your email for customer inquiries
  • Categorizes them by urgency and topic
  • Generates draft responses using AI
  • Sends you a summary for review

Tools You'll Need

We'll use three simple tools that work together:

  • Zapier: Connects different apps (free plan available)
  • OpenAI API: Provides the AI intelligence ($5-10/month typical usage)
  • Your existing email: Gmail, Outlook, or similar

Step 1: Set Up Your Trigger (5 minutes)

Log into Zapier and create a new Zap. Choose "Gmail" as your trigger app and select "New Email" as the trigger event. Connect your Gmail account and set up a filter for emails containing specific keywords like "support" or "help".

Step 2: Add AI Processing (10 minutes)

Add an OpenAI action to your Zap. Configure it to:

  • Analyze the email content
  • Determine the urgency level (High, Medium, Low)
  • Categorize the inquiry type (Technical, Billing, General)
  • Generate a draft response

Use this prompt template: "Analyze this customer email and provide: 1) Urgency level 2) Category 3) Suggested response. Email: [email content]"

Step 3: Create Your Output (10 minutes)

Add a final action that sends you a formatted summary via Slack, email, or your preferred notification method. Include the original email, AI analysis, and suggested response.

Step 4: Test and Refine (5 minutes)

Send yourself a test email and watch your workflow in action. Adjust the prompts and filters based on the results.
